Suggestions are a starting point
Merchant names vary by bank, statement format and region. A suggested category can help speed up review, but it is not proof of the expense type or tax treatment. A merchant can be used for different purposes.
1. Review an ambiguous merchant
Example: A warehouse retailer appears as “ABC WHOLESALE”, “ABCWHSE #123” and “ABC WAREHOUSE”. One trip may be groceries, another office supplies, and a third may need a split. Correct the actual transaction rather than forcing every future charge into one category.
2. Use consistent rules carefully
- Review description, account and amount before approving a suggestion.
- When rule or learning controls are available, prefer merchant-name patterns that are specific enough to avoid unrelated activity.
- Test the rule with a different transaction from the same merchant.
- If the meaning changes between Personal and Business, correct it in the correct workspace; do not assume the app shares rules across both without a verified release.
3. Check transfers, splits and taxes
A credit-card payment should not be suggested as another expense. Business classification into a chart-of-accounts entry is separate from assigning a convenient category label. For GST/HST, validate the actual receipt and applicable tax rules rather than trusting a merchant suggestion.
If a suggestion repeats incorrectly
- Check existing merchant aliases, rules and prior corrections.
- Look for a too-broad pattern that also matches another merchant.
- Confirm the account and workspace before editing.
- Preserve a backup before bulk recategorizing historic activity.
