Prepare records before exporting

Select the correct reporting period and review the bank and card reconciliation status. Clear outstanding Pending rows or flag anything unresolved so the accountant knows it needs attention.

1. Review your statements and ledgers

Check bank balances, Chart of Accounts totals, unusual journal postings and customer/supplier balances. Separate account transfers from income and expense.

2. Include supporting schedules

Depending on your business, gather invoices, bill summaries, receivables, payables, payroll workpapers, remittance records and foreign-currency adjustment schedules. See ledger and journal basics.

3. Export the accountant package

Use the Business export/reporting tools for the required period. Check the contents before sharing, and don't assume a downloaded report means unresolved items have been automatically reconciled.

4. Protect the backup and documents

Save Backup everything for the local financial dataset, and separately export Business Documents ZIP for any attachments. Neither ZIP is a substitute for preserving original bank statements and invoices.

5. Share securely

Use an appropriate encrypted or secure transfer method for employee, banking and tax details. Avoid uploading identifying financial records to public feedback boards.
