Before importing
Save a backup, identify the exact account, statement period, opening and closing balances, and the file currency. A migration or accounting-backup import is different from importing a routine bank or credit-card statement.
1. Inspect the preview
- Confirm the selected business and bank or credit-card account.
- Verify signs on withdrawals, fees, refunds and deposits.
- Review statement dates and detect overlap with existing imported activity.
- Pay special attention to transaction names, dates and unusual amounts before accepting rows.
Example (illustrative): A $125 supplier refund should not become a $125 expense. Compare its sign and description with the original statement.
2. Work through Pending
Review suggested categories rather than treating them as verified bookkeeping. Check whether an item needs a split, invoice/bill match, owner contribution, transfer, credit-card payment or exclusion. A category suggestion alone does not determine the correct GST/HST treatment.
3. Check Posted and the ledger
Once reviewed, confirm that the accounting entries reflect the intended chart-of-accounts treatment. Check that inter-account transfers and card payments are not new expenses and that excluded items did not affect the books.
4. Match the closing statement
Use the closing statement and transaction list to explain any difference. Common causes include missed fees, duplicated overlapping periods, pending transactions not posted, and the wrong account or currency.
Continue to bank reconciliation and month-end review.
